Frequently Asked Questions
Have more questions? Contact the clinic.
New patients contact our office directly to schedule their initial evaluation. Existing patients may book and manage appointments online anytime through the patient portal.
Because initial evaluations require reserved three-hour clinical blocks, new patient scheduling begins with a brief intake call to ensure our practice model aligns with your health goals.
-
For New Patients: Contact our office to request your initial session. Once scheduled, you will receive an invitation to establish your secure patient account and complete your mandatory Whole Health Intake documentation at least 5 days prior to your visit.
-
For Existing Patients: Log into your secure online account to schedule follow-up visits, manage appointment times, update payment methods, or download superbills for reimbursement.
To ensure thorough clinical preparation and protect your full three-hour treatment time, all intake documentation must be completed online at least five days prior to your appointment.
Upon scheduling, you will receive an email invitation to set up your secure patient portal account and complete the following required intake documents:
-
Online Whole Health Intake Form: Captures your complete medical history, active symptoms, current medications, and health goals to allow for clinical analysis prior to your arrival.
-
Informed Consent for Care: Details the scope of modalities offered (acupuncture, somatic care, heat therapy, acoustic resonance) and outlines treatment expectations.
-
Financial & Out-of-Network Agreement: Reaffirms our direct-pay model, time-of-service payment requirements, superbill policies, and card-on-file authorization.
-
48-Hour Cancellation Policy Acknowledgment: Confirms agreement to our late-cancellation/no-show fee policy.
Important Note: Because your initial three-hour session involves extensive pre-visit preparation, failure to complete your portal documents at least 5 days prior may result in your appointment being rescheduled to protect the quality of your care.
Your initial visit is a comprehensive, three-hour baseline evaluation and targeted treatment designed to identify the clinical root cause of your symptoms.
Rather than focusing solely on isolated symptom management, this extended session allows for a thorough diagnostic intake and immediate face-to-face care.
-
Comprehensive Clinical Evaluation: We conduct a detailed medical history review and classical diagnostic assessment—utilizing physical palpation, pulse, and tongue observation to examine nerve pathways, metabolic health, and tissue restriction.
-
Targeted In-Clinic Care: Guided by these objective findings, your baseline session includes an individualized acupuncture treatment combined with somatic care, heat therapy, or acoustic sound resonance.
-
Structured Treatment Strategy: Before you leave, we establish a collaborative care plan tailored to your functional goals, including home-care protocols and optional herbal or whole-food supplement recommendations to support progress between visits.
To Prepare for Your Visit: Please wear or bring loose, comfortable clothing and bring a complete list of your current medications and supplements. Plan to arrive 5–10 minutes early to ensure your session starts on time.
No. We are a direct-pay, out-of-network practice and do not bill health insurance, Medicare, or Workers’ Compensation carriers.
Payment is due in full at the time service is rendered. This direct-pay model allows us to dedicate our full time and clinical focus directly to your care without third-party insurance restrictions or treatment limitations.
-
Reimbursement via Superbill: Upon request, we will provide an itemized superbill after your visit containing all necessary coding details (ICD-10 diagnosis codes, CPT procedure codes, provider NPI, and Tax ID). You may submit this document directly to your commercial health insurance provider for potential out-of-network reimbursement.
-
Out-of-Network Verification: Reimbursement rates depend entirely on your specific policy’s out-of-network acupuncture benefits. We recommend contacting your carrier prior to your visit to verify coverage.
-
Government Programs: Federal regulations prohibit issuing superbills for services provided to Medicare or Medi-Cal beneficiaries for non-covered or opted-out care models.
Payment in full is strictly required at the time of service. As an independent, out-of-network practice, we do not bill commercial health insurance, Medicare, or Workers’ Compensation directly.
-
Accepted Forms of Payment: We accept major credit/debit cards, cash, and Health Savings Account (HSA) / Flexible Spending Account (FSA) cards.
-
Insurance & Superbills: Upon request, we issue itemized superbills containing standard billing components (ICD-10 diagnosis codes, CPT procedure codes, and provider NPI) that you may submit to your commercial insurer for potential out-of-network reimbursement. (Note: Superbills cannot be submitted to Medicare per federal guidelines).
-
Cancellation & Late Policy: Dedicated clinical time is reserved specifically for your visit. Late cancellations (less than 48 hours' notice) or failed appointments without notice are subject to a Full Visit Fee charged to the card on file.
Yes. Acupuncture and medically necessary evaluation services are qualified medical expenses under IRS guidelines.
We accept Flexible Spending Account (FSA) and Health Savings Account (HSA) debit cards at the time of service.
-
Documentation Provided: Following your visit, we provide a fully itemized superbill containing all standard billing components (diagnosis/ICD-10 codes, service/CPT codes, and provider NPI) required by your account administrator for verification.
-
Card Processing & Declines: HSA/FSA cards are authorized directly by your plan administrator. If a card is declined at checkout, it is typically due to account balance limits or plan-specific substantiation rules, and an alternate form of payment will be required at the time of service.
No, our practice operates strictly by appointment only.
To provide comprehensive, individual medical care and protect dedicated clinical time for each patient, we do not accept walk-in visits. All evaluations and treatments must be scheduled in advance through our office or online portal.
Every patient’s care plan is based on medical necessity and individual response.
While most patients report a noticeable shift during or immediately following their first session, lasting resolution depends on the severity, chronicity, and underlying causes of your condition.
-
Your Initial Visit: We perform a complete baseline evaluation to identify root restrictions and determine how your body responds to targeted care.
-
Your Treatment Plan: Based on those clinical findings, we establish a structured, collaborative care outline tailored specifically to your goals.
-
Support Between Care: To accelerate progress and maintain gains between visits, specific herbal formulas or whole-food supplements may be recommended as part of your care plan.
